Schools should always check with their MIS provider for the latest news and information about their system. We also advise that schools check that they have the most up-to-date version of their MIS, before creating the CTF files required for the EYFSP and PSC to send to the LA.

Early Years Foundation Stage Profile
Step-by-step guidance for school staff to complete the data submission for the Early Years Foundation Stage Profile (EYFSP).
Deadline: Friday 19 June 2026
Step 1 - Check you are working with the Early Years Foundation Stage Profile (EYFSP) assessments (and not the age-related year/ termly assessments).
Your MIS provider may have more than one data entry sheet for each Key Stage. You need to select the one that allows you to enter assessment judgements in. There are a total of 17 early learning goals. The valid assessment judgements are: '1' ('emerging') and '2' ('expected'), or if you have been granted an exemption the 'A' code as per the guidance Exemptions from the EYFSP for providers and individual children
Step 2 - Check you have selected the correct pupils.
The correct pupils for this data return are children in Reception who are progressing on to Year 1. If children are repeating Reception (not progressing next academic year) then they should not be included.
Step 3 - Check all relevant pupils are included.
Please check the guidance in the Early years foundation stage profile handbook under Children transferring schools, to ensure the relevant pupils are included.
Step 4(a) - Enter assessment scores into the data entry sheet on your MIS.
Regularly save your work so that you don't lose any data. In some MIS if you click on "Calculate" the MIS will perform checks to ensure all values are entered correctly.
Step 4(b) - If a result cannot be entered into the MIS.
Your MIS may not let you enter certain values. If this happens, go back to the teacher and check that valid values are being used. In some MIS you can right click the mark sheet and it will show you the valid values for that subject.
Step 5 - Check for blanks.
Make sure that all pupils have judgements for all 17 Early Learning Goals. You should not have missing codes.
Step 6 - Check you have the correct file to download in your Management Information System (MIS).

Step 7 - Check the contents of the MIS data sheet.
Sometimes pupils are missed off at this stage. Take a moment to double check all relevant pupils have been included in the data sheet (see Step 3 for which pupils to include). As per Department for Education guidance, all the following fields need to be included:
- your local authority number
- for local authority maintained schools, academies and nursery schools, the 4-digit establishment number
- for PVI settings, the 6-digit early years unique reference number starting with a 5, 6 or 7 as used in the 2025 early years census return
- the academic year, for example, 2024 to 2025
- the child's surname
- the child's forename
- the child's sex
- the child's date of birth
- the unique pupil number - this is a 13 character identifier
- the child's home postcode
Step 8 - It is recommended that the Headteacher checks the data sheet at this point.
This is to spot mistakes before the data is uploaded to Perspective.
Step 9 - Export the data sheet as a CTF/XML from your MIS.
Step 10 - Upload the file to the Local Authority (LA) using 'File Request' on Perspective.
Check your emails for the 'File Request' email titled 'EYFSP 2026 Data Collection' and follow the instructions. This will have been sent to the Headteacher or Lead/EYFSP Perspective user at the school. Visit our webpage on using Perspective for further information.
Deadline to upload: 19 June 2026
Step 11 - Check the file has been accepted in 'File Request'.
If the file has been uploaded file Request will show a message 'successfully uploaded', this only means it has been correctly sent to the Local Authority
Step 12 - What happens next.
- The Local Authority will receive the file(s) and will import it into their data systems.
- Wait 2 working days and then log back in to Perspective to check it has been 'Accepted'. If there is any fault with the file, your school you will receive a Rejection and an explanation as to the issue/error.
- You will need to correct the issue/error(s) and submit a new file. If submitting a new file always include all the pupils, not just the pupil(s) who had any error.
- If you need to make any amendments to your submitted data file, please email the Data Team ([email protected]), as you will be unable to upload a new file through File Request.
- Schools that successfully submit their data file by 5pm on Friday 19 June will receive a Summary Report in Perspective on Wednesday 24 June. This Summary report enables you to check that your data is correct. It is imperative that this data is checked as there is no other opportunity to correct data and this will published in the IDSR and DfE tables in the Autumn term.
- If there are any errors in the Summary Report, please contact the Data Team ([email protected]) as soon as possible. You will not be able to resubmit through File Request after the original file has been 'Accepted'. Contact the Data Team to resubmit.

Phonics Screening Check
Step-by-step guidance for school staff to complete the data submission for the Phonics Screening Check (PSC).
Deadline: Friday 19 June 2026
Step 1 - Check the LA list of Year 2 pupils who need to be re-tested.
Even if you believe all your Year 2 pupils achieved the Expected Standard when they were in Year 1, it is strongly recommended that you open the Year 2 pupil list to check. The list will be uploaded to Perspective in early May and will contain the Year 2 pupils who may require the PSC based on the Jan Census. Please be aware you may have had pupil leave or join your school since then, so this list may not be fully up to date.
Step 2 - Check you have the correct data entry sheets.
Select the data entry sheet that allows you to enter Phonics Screening Check (PSC) scores in. You will need to create two data sheets - one for Year 1 and the other for Year 2.
Step 3 - Check you have selected the correct pupils.
The correct pupils for this data return are:
- Year 1 - all pupils.
- Year 2 - pupils who do not have a recorded score or did not achieve the Expected Standard in Year 1.
Pupils who are on roll at the school during the PSC window and who sit the PSC with you should be included in your data. For guidance on pupils who move schools, visit section 8.2 of the STA's 2026 phonics screening check: administration guidance.
Step 4(a) - Enter assessment scores into the data entry sheets on your MIS.
Enter the Phonics score (from 0-40) for each child. Only enter a score of 0 if the pupil scored 0. For pupils who did not take the test, enter A, D, L, or Q in the Grade column. Do this for the Year 1 and Year 2 data sheets.
Regularly save your work so that you don't lose any data. In some MIS if you click on "Calculate" the MIS will perform checks to ensure all codes are entered correctly.

Step 4(b) - If a result cannot be entered into the MIS.
Your MIS may not let you enter certain values. If this happens, go back to the teacher and check that valid codes are being used. In some MIS you can right click the data sheet, and it will show you the valid codes you can use.
Step 5 - Check for blanks.
Ensure all pupils that completed the Phonics Screening Check have either a score or a code, entered as per Step4(a). You should not have blanks.
Step 6 - Check you have the correct file to download in your Management Information System (MIS).
Your MIS should have a tool designed for Assessments data returns. Visit our MIS Guidance webpage to find links to guidance from different MIS providers.
Step 7 - Check the contents of the MIS data sheets.
Sometimes pupils are missed off at this stage. Take a moment to double check all relevant pupils have been included in the data sheet (see Step 3 for which pupils to include).
Step 8 - It is recommended that the Headteacher checks the data sheets at this point.

Export one file containing both Year 1 and the relevant Year 2 pupils. If you are unable to export one file, please export a file for each Year group.
Step 10 - Upload the file or files to the Local Authority (LA) using 'File Request' on Perspective.
Check your emails for the 'File Request' email titled 'Phonics 2026 Data Collection' and follow the instructions. This will have been sent to the Headteacher or Lead/Phonics Perspective user at the school.

Step 11 - Check the file has been accepted in 'File Request'.
File Request will automatically display that the file has been 'successfully uploaded'.
Step 12 - What happens next.
- The Local Authority will receive the file(s) and will import these into their data system.
- Please wait 2 working days and then log back in to Perspective to check it has been 'Accepted' or 'Rejected'.
- If rejected please respond to any error messages and correct any results where messages or errors are displayed. If there is a significant fault with the file, your school will also be contacted by the Data Team.
- You will need to correct the issue/error(s) and submit a new file. If submitting a new file always include all the pupils, not just the pupil(s) who had any error. Then resubmit the file as per Step 10.
- If you need to make any amendments to your results please contact the Data Team ([email protected]). You will not be able to resubmit through File Request after the original file has been 'Accepted', you will need to contact the Data Team in order to resubmit.
- Schools that successfully submit their files by 5pm on Friday 19 June will receive a Summary Report in Perspective by Wednesday 24 June. This Summary report enables you to check that your data submitted is correct. It is imperative that this data is checked as this is what will be published for your school in the Autumn.
- If there are any errors in the Summary Report, please contact the Data Team ([email protected]) immediately. You will not be able to resubmit through File Request after the original file has been 'Accepted', you will need to contact the Data Team in order to resubmit.

Multiplication Tables Check
Step-by-step guidance for school staff to complete the data submission for the Multiplication Tables Check (MTC).
Deadline: Wednesday 24 June 2026
Step 1 - Download Multiplication Tables Check (MTC) results.
From Monday 22 June you should be able to download an CTF file of results from the MTC Service via your DfE login. This will provide a total score for each pupil.
Step 2 - Upload the file to the Local Authority (LA) using 'File Request' on Perspective.
Check your emails for the 'File Request' email titled 'MTC 2026 Data Collection (By 24th June)' and follow the instructions. This will have been sent to the Headteacher or Lead/Y4 Perspective user at the school.
Upload the original CTF that you receive from the MTC Service, not a file generated by your MIS.

Deadline to upload: 24 June 2026
Step 3 - Check the file has been accepted in 'File Request'.
After the File Request says that the file has successfully uploaded, wait 2 working days and then log back in to Perspective to check it has been 'Accepted' by NCC.
If the file is not successfully uploaded, respond to any error messages and correct any results where messages or errors are displayed. Then resubmit the file as per Step 2.
Step 4 - What happens next.
- The Local Authority will receive the file(s) and will import them into their data systems.
- If there is any fault with the file, your school will be contacted by the Data Team. You will need to correct the issue/error(s) and submit a new file.
- You will not be able to resubmit through File Request after the original file has been 'Accepted'. Contact the Data Team to resubmit.

Key Stage 2 Teacher Assessments

Step 1 - Check you have the correct resource in your Management Information System (MIS).
Your MIS may have a tool designed for Key Stage Assessments data returns. Visit our MIS Guidance webpage to find links to guidance from different MIS providers.
Step 2 - Check you have the correct data entry sheet.
Your MIS provider may have more than one data entry sheet for each Key Stage. You need to select the one that allows you to enter Teacher Assessment (TA) judgements in.
Step 3 - Check all relevant pupils are included.
If a child is on roll at the school up until the May half-term break, you must submit a TA for them. There will be a list of pupils on your KS2 Pupil Registration within the National Curriculum Assessments (NCA) Portal to reference. You must also include TAs for any pupils added late to your KS2 Pupil Registration.
Step 4(a) - Enter assessment scores into the data entry sheet on your MIS.
- For Writing and Science: all pupils who are on the KS2 Pupil Registration at your school must be given Teacher Assessments (even if they left the school after test week).
- For Reading and Maths: only pupils who did not sit the KS2 testsin these subjects require Teacher Assessments.
Regularly save your work so that you don't lose any data. In some MIS if you click on "Calculate" the MIS will perform checks to ensure all values are entered correctly.
Step 4(b) - If a result cannot be entered into the MIS.
Your MIS may not let you enter certain values. If this happens, go back to the teacher and check that valid values are being used. In some MIS you can right click the data sheet, and it will show you the valid values for that subject.
Step 5 - Check for blanks.
Ensure there is a code entered for each applicable subject for the pupils. Files with blank codes will be rejected.
Step 6 - Check the contents of the MIS data sheet.
Sometimes pupils are missed off at this stage. Take a moment to double check all relevant pupils have been included in the data sheet. See Step 3 for which pupils to include.
Step 7 - It is recommended that the Headteacher checks the data sheet at this point.
This is to spot mistakes before the data is uploaded to Perspective.

You only need to export KS2 Teacher Assessments, not KS2 test data.
Step 9 - Upload the file to the National Curriculum Assessments (NCA) Portal.
You do not need to send this file to the Local Authority. Upload it straight to the NCA Portal.

Step 10 - Check the file has been accepted by NCA
Check you have received both of the following emails from NCA after you upload your file:
- NCA confirming receipt of the file.
- NCA confirming that they have accepted the file.

Note about moderated schools
If your school is being moderated, you should submit your KS2 Teacher Assessment data as soon as possible after the moderation visit and before the DfE deadline of 26 June 2026.

Early Years Foundation Stage Profile (Year R)
Deadline: Friday 19 June 2026
The EYFS Profile is a statutory assessment of a child's development and should be completed for all pupils registered at maintained schools, academies (including free schools) and special schools (including maintained special schools and special academies).
The assessment is carried out in the final term of the Reception year, either in the year in which a child reaches age 5 and/or before the child moves into Year 1
Children are not exempt from the assessment only based on SEND. If a teacher judges that a child has not met an ELG, for whatever reason, it is important that they report the child as 'emerging' with a '1' code for each of the ELGs.
The 'A' code exemption should only be used for children who have an agreed individual exemption on grounds of religious or philosophical beliefs.

Phonics Screening Check (Year 1 and Selected Year 2)
Deadline: Friday 19 June 2026
The Phonics Screening Check is a statutory assessment to confirm whether children have learnt phonic decoding to an appropriate standard, for all pupils registered at maintained schools, academies (including free schools) and special schools (including maintained special schools and special academies).
The check should take place in the specified June window, in the year in which a child reaches age 6, which for most pupils will be in Year 1. Pupils who have reached the age of 7 of which most pupils will be in Year 2, must also take the check, if they have not taken the check before or if they did not meet the expected standard in their Year 1 check.
Headteachers make the decision about whether it is appropriate for a pupil to take the check.

Multiplication Tables Check (Year 4)

The multiplication tables check, is a statutory assessment, designed to determine whether pupils can fluently recall their multiplication tables up to 12. Participation is for all Year 4 pupils registered at maintained schools, academies (including free schools) and special schools (including maintained special schools and special academies).
Headteachers make the final decision about whether it is appropriate for a pupil to take the check.

Key Stage 2 Teacher Assessments (Year 6)

All pupils enrolled at maintained schools, academies and special schools (including maintained special schools and special academies) who will complete the KS2 programmes of study by the end of the academic year, will reach the age of 11 by the end of the academic year and will be in Year 6, and will be moving on to KS3 must be registered.
This includes pupils who are working below the overall standard of the Tests, and ultimately will not take them, and will be teacher assessed at the pre-key stage 2 standards or using the engagement model.

File Requests
- Log-in to Perspective
- From the home page, Click LA File Requests
- On the File Request Tab, choose your data return either EYFSP, Phonics or MTC, then Click Upload & Send.
- Search for your CTF/Excel file, via File Explorer on your drive or drag and drop the file into the upload section.
- Add any additional details or contextual information you would like the Data team to know, by typing in the Comment box.
- Click Send to submit your file.
- Check back into the Perspective. If there is an issue with your data, you will receive a rejection notification within 2 working days, along with details of the error or issue with your file.
- If required, fix the error/issue as requested and resubmit your file following the steps above

Transferring Pupil Records
Transfer of pupil data between schools - end of 2025/26
Background Information
Headteachers of maintained schools, including maintained special schools, must ensure the statutory requirements for the transfer of records between schools are fulfilled, including the completion of the CTF. This requirement is set out in the Education (Pupil Information) (England) Regulations 2005, as amended.
If a pupil moves to another school in England, Wales, Scotland or Northern Ireland, the pupil's CTF and educational records must be passed to the new school. Academies are not subject to this requirement but are expected to adhere to the following protocols as a matter of good practice.
Schools are legally required to transfer a pupil's CTF and educational record to the new school within 15 school days of the pupil leaving the school.
Transition Arrangements
The effective management of the transition of pupils from one school to another is a key responsibility of schools, and of the Local Authority. A consistent county-wide approach to the transfer of information is especially important for schools which draw their intake from a large number of schools, and for those which send pupils to several different schools.
National and local surveys have identified pupil transfers as particularly successful when schools:
- have established curriculum liaison and cross-phase trust
- ensure that there is agreement within and across schools about what information should be passed on
- have procedures in place to ensure the right information gets to the right people in good time
- use such procedures for passing information internally as well as to and from other schools and sources
- read the information received, and discuss it where appropriate, prior to the start of the new school year
- use the information received to provide appropriate challenge and support for each pupil
- provide information which focuses on significant aspects of learning and identifies pupils' strengths and areas for development.
- provide information on any pupil intervention or catch-up programme which has taken place
The procedures outlined represent the minimum amount of information required. The dates that schools should send their CTF files to the new schools are detailed below.
Files are transferred using Common Transfer File (CTF) format, Anycomms Plus secure data transfer system, or s2s (via the DfE's Secure Access Portal).
Minimum information and latest dates for pupil details to be transferred between schools - Summer 2026
Ensure all the information recorded for your pupils is correctly recorded in your School MIS - so when you create a Common Transfer File (CTF) it contains the most accurate data required by the new schools.

PLEASE NOTE:
- For pupils with significant special educational needs, key information should be passed as early as possible, in order to enable the receiving school to make appropriate arrangements for support.
- Although the above schedule refers to the end of an academic year, the appropriate information should also be transferred electronically when individual pupils move schools at any other time. A CTF file must be submitted within 15 school days of the pupil leaving the school.
- Academies are expected to adhere to the above protocols, as a matter of good practice.

Key Stage Assessments Submission Templates - 2026
EYFSP & Phonics Excel templates
If required they should be completed by schools and returned to the Data Team via Perspective File Request:
EYFSP Excel template (Excel doc, 37 KB)
Phonics Excel template (Excel doc, 17 KB)
When completing the Phonics template ensure the Pupil Phonics scores (out of 40) are added to column J "Check Mark Result Qualifier (NM)" and ignore column K "Check Outcome Result Qualifier (NY)" which should be left blank.
