Key Stage 2 Teacher Assessments

Step-by-step guidance for school staff to complete the data submission for Key Stage 2 Teacher Assessments.

Step 1 - Check you have the correct resource in your Management Information System (MIS).

Your MIS may have a tool designed for Key Stage Assessments data returns. Visit our MIS Guidance webpage to find links to guidance from different MIS providers.
 

Step 2 - Check you have the correct data entry sheet.

Your MIS provider may have more than one data entry sheet for each Key Stage. You need to select the one that allows you to enter Teacher Assessment (TA) judgements in.
 

Step 3 - Check all relevant pupils are included.

If a child is on roll at the school up until the May half-term break, you must submit a TA for them. There will be a list of pupils on your KS2 Pupil Registration within the National Curriculum Assessments (NCA) Portal to reference. You must also include TAs for any pupils added late to your KS2 Pupil Registration.
 

Step 4(a) - Enter assessment scores into the data entry sheet on your MIS.

  • For Writing and Science: all pupils who are on the KS2 Pupil Registration at your school must be given Teacher Assessments (even if they left the school after test week).
  • For Reading and Maths: only pupils who did not sit the KS2 testsin these subjects require Teacher Assessments.

Regularly save your work so that you don't lose any data. In some MIS if you click on "Calculate" the MIS will perform checks to ensure all values are entered correctly.
 

Step 4(b) - If a result cannot be entered into the MIS.

Your MIS may not let you enter certain values. If this happens, go back to the teacher and check that valid values are being used. In some MIS you can right click the data sheet, and it will show you the valid values for that subject.
 

Step 5 - Check for blanks.

Ensure there is a code entered for each applicable subject for the pupils. Files with blank codes will be rejected.
 

Step 6 - Check the contents of the MIS data sheet.

Sometimes pupils are missed off at this stage. Take a moment to double check all relevant pupils have been included in the data sheet. See Step 3 for which pupils to include.
 

Step 7 - It is recommended that the Headteacher checks the data sheet at this point.

This is to spot mistakes before the data is uploaded to Perspective.
 

Step 8 - Export the data sheet as a CTF/XML from your MIS.

You only need to export KS2 Teacher Assessments, not KS2 test data.
 

Step 9 - Upload the file to the National Curriculum Assessments (NCA) Portal.

You do not need to send this file to the Local Authority. Upload it straight to the NCA Portal.

Step 10 - Check the file has been accepted by NCA

Check you have received both of the following emails from NCA after you upload your file:

  1. NCA confirming receipt of the file.
  2. NCA confirming that they have accepted the file.

Note about moderated schools

If your school is being moderated, you should submit your KS2 Teacher Assessment data as soon as possible after the moderation visit and before the DfE deadline of 26 June 2026.
